Welcome Back Lindsay!

Welcome back Lindsay! We look forward to having you back at Wyandotte Co-op on the 5th!

Thank you Matt for filling in for Linday! Matt will continue to work at Belleville Co-op Tuesday/Thursday and every other Friday. He will start as the substitute SC at Labelle Towers Co-op on Monday/Wednesday and every other Friday on September 10th.

Systemic Co-op Building Maintenance Issues

As members come to SCs upset about building maintenance issues, such as repeated AC outages, please continue to refer them to the front office and/or liaison. You are doing the correct thing. Sharon did let me know that the members should continue to fill out maintenance requests (which can be found in the front office) for these issues. Diane suggested that members should photocopy their written maintenance requests. This is the extent with which you may assist them. Otherwise, encourage them to continue advocating through their front office.

Co-op Member Voting Confusion

Co-op members are about to attend their annual Management Conference, and Sharon let us know that some of the members are confused about the voting policies as they relate to households.

When members vote at the co-op in which they reside, it is one vote per each head/member.

However, when members vote on corporate matters (for example at the Management Conference on issues like Board of Directors elections or changes to the bylaws), it is one vote per household.

This may come up with a member. The best advice is to refer them to their President for clarification, but at least you know the background.

CSI SCs Serving Community Members

Word gets out that you are good service coordinators, and we do work with community members. However, there are eligibility requirements:

1. Community member must be 60 or older.

2. You may work with a younger community member if they are applying to the co-op and meet the co-op’s eligibility criteria (ie some co-ops have units for mobility impaired 18-61 year-old member; Labelle and Washington square also serve 18-61 year-old members with disability; and Labelle and Wyandotte have waivers to accept members 55+. )

3. You may work with a registered guest of a member, but they need to provide written documentation that they are registered and are staying less than 30 days.

4. If a member who is a client asks for information and referral resources for their family, you may provide appropriate agency referrals and resources. Write that up under the member’s progress notes.

5. There may be select cases when a SC serves a member from another co-op, but you need to talk with Sharon and me about this first.

Protecting Confidential Files

To Connect to Hannan via Remote Desktop Connection:
1) Start > All Programs > Remote Desktop Connection
2) After Computer: hannan.npserv.org
3) User Name: Hannan Provided User Name
4) Password: Your Password
5) Answer in the affirmative to any questions (Connect, Yes, Allow, Accept, OK, Approve, etc.)

If you would like to access files that are on the LOCAL computer C: drive and/or a Flash Drive, you must do the following BEFORE connecting via Remote Desktop
1) Start > All Programs > Remote Desktop Connection
2) Click on “Options”
3) Click on the “Local Resources” Tab
4) Under “Local devices and resources” click the “More…” button
5) Click the + box to the left of “Drives”, and fill the box next to “Local Disk (C:)”
*NOTE: Your Hard Drive may be named something other than “Local Disk”. It should still have (C:) listed after it.
6) Fill the check box next to any other devices you would like to have (Flash Drive)
7) Click OK, click back to the General tab, and continue from step 2) Above.
The LOCAL devices you selected should appear in Start > Computer, under “Other”.

FCRC Certification

Save the Date:

CSI requires all of their FCRC committee members to participate in their fall FCRC Certification training annually. We are requiring all of our our CSI SCs to also recertify annually. It is a good way to maintain continuity with their procedures and assuring that the SC Program enhances, but doesn’t undermine, their FCRC system.

The fall trainings are on Friday, September 21st, 10am-2:30pm at Riverview Co-op or Monday, September 24th, 10am-2:30pm, at New Horizons Co-op. Sharon Bolden,  Education Coordinator, is sending out the training invitations and the SCs are required to RSVP to her with which training they are choosing to attend. I have not yet figured out how Laura and Karen will participate, but I hope to arrange with Washington Square for them to take their van along with the FCRC members from their co-op who will be driving out for the training.

Monthly CSI Liaison Meetings – Tip of the Week

i.      Role of Liaison is to call your monthly meeting, but co-op culture is that they liaison isn’t responsible for assuring the members take responsibility for attending  (this is true of any co-op meeting, including council meetings).  You can broach the idea of whether it would be a good idea if somebody made reminder calls the day before your monthly meetings to assure more representative participation. This cannot be the liaison or the SC, so a co-op member (the President, FCRC Chair, or Education Chair) would have to volunteer to do this.

ii.      Please bring your co-op specific contact sheet to your next monthly meeting and update it with your new co-op leadership and any missing information. Please update the sheet and resave it to the shared drive so that we all have access to the updated information (this is especially important for your substitute SC and me). Thanks.

iii.      Please ask for updated House Rules and Bylaws if they have changed since your start date. Please give me a copy of the new ones. You won’t automatically receive updates, so it’s a good topic for monthly meetings.

      1.                                                                                        i.      Email RJ and Sharon scenarios ahead of time
    4. Communication with liaisons. Ask which mode of communication is best for them. If having challenges with liaison responding, please cc Anne Sackrison and me. You all know the liaisons are really busy with multiple co-ops and other  job duties, so take a bit of time at each monthly meeting to learn more about their role, which should help find some common ground for communication.
  5. AASC Online Updates
    1. Remember to complete your SC Daily Log. You are aiming for an average of no greater than 25-30% of your time doing administrative tasks. If you are having a challenge with this, please let me know and we can discuss.
    2. Frail and at risk members are only calculated in your Semi Annual Reports for members who are 62+. Hence, if you have a co-op with younger adults who are frail and at risk, please print a customized service report and attach it to your Semi Annual Report in order to capture the number of frail and at risk younger adults with whom you work.
    3. How many Semi Annual Reports does each property submit? Good question. I need to talk with our HUD representative about this. It differs regionally and depending on type of grant. I’ll get back with you soon.
    4. You can, and should, do a Cost Savings report and progress note (no service log) for members of the co-op who are not clients, but have benefitted financially from your services (ie you hosted a Senior Project Fresh educational workshop at the co-op and all attendees received Farmers Market vouchers worth “x” dollars.
    5. I heard some familiar voices asking the very best questions during the AASC Online training yesterday. I wanted to let you know that you can always contact Jenell to ask questions or ask her for a listing of upcoming trainings she’s already scheduled, and she’ll email you an invitation to attend whichever one works into your schedule.
    6. I confirmed with Cheryl that you can deactivate inactive community members 2 months after your last necessary contact (ie you’ve followed up on services rendered and/or you’ve made 2-3 attempts to follow up and have not received a reply). You cannot deactivate a resident member unless they move out or pass away.

Announcing 2 New SC Team Members!

Welcome Jane Grant and Matt Hamburg to the Hannan Service Coordination Team. They started today! Both Jane and Matt are social workers. Jane brings a career’s worth of experience as a Detroit social worker accross the life span to her full time position at Meyers Plaza Co-op. Matt interned at Hannan for a full year and graduated from UM SSW two weeks ago. He’ll be part time at Belleville Co-op and part time “special projects”, which translates to long term substitute service coordinator where needed. The first place he’s needed is at Wyandotte Co-op.
