CSI SC Procedures for Deviating from Standard Working Hours

Hi All,
This is new for the new CSI SCs and a refresher for the seasoned service coordinators. Please remember that when you make any adjustments to your standard/posted working hours, you need to communicate this to four entities:

1. Me!
2. Your front office
3. Your Liaison
4. Sheila

There are multiple ways of doing this, and I recommend doing all of the above, because it is always better to err on the side of over communicating and people have different communication styles, so using multiple methods helps make sure that people receive the message.

1. Always post a message on your office door indicating where you are and when you will return. Examples of this may include “Out of office 1-3pm today for workshop at DAAA”, “In co-op. Back in office at 2pm.”, “Will be out of office this Friday for PTO”, “In conference. Available again at 11am.”, etc. You can leave these messages on your white board or with a paper sign.
2. If you know in advance that you are going to be out of the office for a training, workshop, site visit to an agency, or PTO, email the 4 entities concerned (myself, your front office, your liaison, and Sheila). Indicate where you will be and when you will return (ie “Will be at Hannan House for Professional Development Training and SC Team Meeting on Thursday, April 11th, 9am-2pm.”
3. If you are running late due to snow or have an unanticipated illness, call your front office and leave a message and call or text my cell phone at 734-330-5642 to let me know. Follow up as soon as possible with an email to the four entities concerned (myself, your front office, your liaison, and Sheila). Retroactively submit for PTO or flex hours within the 2 week pay period.
4. Email a succinct breakdown of all planned deviations from your schedule at the beginning of each month for the upcoming month.
5. Verbally let your President, FCRC Chair, Education Chair, Activities Chair, and Liaison know about planned schedule changes during your monthly meeting. And learn about any of their planned schedule changes.
6. Remember to duck your head in the front office to say “hi” when you are coming and going from the co-op. If you arrive or leave at times when the front office is not open, be sure to plan a time in your day when you duck your head in to say “hi”.
7. Finally, you do get to take vacations! Hence, if you are going to be out of the office for any length of time, please change your answering machine to indicate when you will be out and when you will return.

Taking Photos at Co-ops

Hi CSI SCs–

SCs are permitted to take photographs of the co-op and members, if you have consent from each individual who is in the photo. Please see the photo release form available on AASC online.

If you have any questions or concerns about your co-op, please check with your Liaison and Council!

Parkinson Exercise Class at Hannan

Stuart Blatt, physical therapist, will be leading our first exercise class on Thursday, March 14th at 10:00am at the Hannan House, lower level. This will be a tremendous opportunity for everyone. Stuart specializes in Parkinsonians and is considered one of the best in the field. Do not miss this chance! See you there!

Please note that the regular Parkinson Meeting on the third Tuesday, March 19th at 1:00 will take place as usual. Be sure to join us.

CSI Co-op Liaison Mission

Hi All,Here’s more information from Sheila about the role of your liaison at the Co-op.

Liaison Duties/Mission Statement
Liaisons are an important link between the co-op and CSI Support. They provide the volunteers with the right tools (training, resources and support) to run and maintain their own co-ops. This has allowed for CSI to maintain its vision of providing low-income cooperative housing while allowing seniors to maintain an active and independent lifestyle.

Liaison mission statement: A liaison is responsible to promote the belief in the cooperative principles and to assist in creating a strong community. This is accomplished by providing continuous education to empower all members to participate in the management of their cooperative while maintaining a positive and respectful attitude by using the democratic control system where every member has a vote.
Purpose: Liaisons support, encourage, educate and guide our members in the orderly management of the cooperative community.

Liaison Duties:
• Assist in providing an open and civil environment in the exchange of ideas.
• Know and understand federal, state and local fair housing, HUD and CSI guidelines.
• Educate and participate in the planning and implementation of co-ops and apartment inspections, for long range planning and according to Housing Quality Standards.
• Regularly review, understand and explain co-ops’ monthly, quarterly and annual financial reports.
• Create and present educational and workshop material.
• Encourage a team approach to problem solving.
• Serve as adviser at co-op meetings as appropriate (including council, general, leasing and finance meetings).
• Monitor waitlist, occupancy and marketing of each co-op.
• Respond when needed to co-op emergencies.
• Communicate and report overall co-op status to the CSI office.
• Prepare for and follow up on management occupancy reviews and REAC inspections.
• Through innovation and enthusiasm, help the co-op maximize volunteer participation.
• Promote networking within the co-op community.
• Carry out any other duties to help fulfill our statement of purpose and mission.

Healthy Choices, Healthy Living at Flat Rock Towers!

Diane Crawford and Victoria Haltom, service coordinators at LaBelle Tower, agreed to lend a hand at Flat Rock Towers! This month, Crawford and Haltom are presenting their Healthy Choices, Healthy Living workshop at FRT. Thanks for helping me out!

PATH Workshop begins at Flat Rock Towers

PATH (Personal Action Toward Health) is a 6-week workshop developed by Stanford Univeristy and offered by The Senior Alliance. Recently, Lindsay, Andrea, and myself all attended PATH training at TSA. Yesterday, Flat Rock Towers had it’s first PATH workshop, which was facilitated by Amanda Pier of The Senior Alliance and myself. Please see the attached flyer.
